Six instruments, one practice.
Every screen is purpose-built for immigration work — from the first messy upload to a filed bundle, the deadlines behind it, and the compliance trail beneath. One case, one audit log, one source of truth.
Core capabilities
The six instruments a serious immigration desk uses daily.
Document extraction
The platform accepts PDFs, JPGs, PNGs and TIFFs up to 25MB. OCR and AI classify the document type — passport, bank statement, Certificate of Sponsorship, P60, marriage certificate, degree certificate — and extract every relevant field with a per-field confidence score. Solicitors review and approve before attachment.
Letter generation
Cover letters, RFE responses and supporting statements are drafted by AI in the firm's tone of choice — formal, professional or plain English — and streamed in real time, so fee earners can intervene at any point. Every draft is editable and saved to the case file with full version history.
Evidence audit
For each case type — Skilled Worker, Spouse, ILR, Student, EEA Family, Global Talent, Asylum — the platform scores the evidence bundle by category and flags every missing item. The result is a defensible, partner-reviewable audit trail before submission.
Deadline management
Visa expiries, BRP renewals, appeal windows and submission cut-offs are tracked centrally. Items within seven days are critical, within thirty days are warnings, and the rest are scheduled. Nothing is in a spreadsheet; nothing is missed.
Policy alerts
UKVI and USCIS policy changes — salary thresholds, English-language requirements, H-1B RFE guidance — arrive in a single feed with severity tags. Partners and solicitors see the same alerts; the firm can dismiss or archive each centrally.
Universal search
A single keystroke (⌘K) searches every case, document and deadline in the firm. Results are grouped, keyboard-navigable and instantaneous — replacing the folder-hunting that consumes a measurable share of a paralegal's day.
Platform modules
Every screen purpose-built for immigration work.
Dashboard
Caseload metrics, the firm's deadline panel, activity feed and per-solicitor performance.
Cases
A five-tab case file: Overview, Documents, Drafts, Timeline and Key Dates — every artefact in one place.
Upload
Drag-and-drop pipeline with live progress, split-screen extraction review and one-click attach.
Letter Generator
Choose letter type, tone and sections; AI streams the draft; the result is editable and saved with versioning.
Evidence Audit
Per-category bundle scoring, a visual gauge, missing-item callouts, re-runnable on demand.
Sponsor Compliance
Appendix D record-keeping, SMS reporting deadlines, right-to-work checks, a key-personnel register and an audit-readiness PDF per sponsor.
Companies House Verification
Verifies a sponsor's UK company against the live Companies House API — status, officers, SIC codes — and flags a dissolved or insolvent licence holder.
Client Onboarding & AML
Identity verification, a money-laundering risk assessment and partner sign-off under MLR 2017, with live sanctions & PEP screening against OpenSanctions.
Conflict-of-Interest Check
Screens a matter's parties against existing clients, sponsor entities and sanctions data, enforcing SRA Code of Conduct 6.1 and 6.2 at sign-off.
Policy Alerts & Impact Engine
UKVI and USCIS feed with severity tagging — and it links each change to the specific open cases it affects, refined by criteria, as a per-case triage worklist.
Deadlines
Critical, warning and scheduled deadlines per case and per firm, with calendar views.
Tribunal Deadline Calculator
Computes statutory FtT / Upper Tribunal / admin-review / judicial-review deadlines from a decision date, cited to the Procedure Rules, and diarises them onto the case.
Universal Search
Instant ⌘K search across every case, document and deadline.
Ask the Case File
Grounded AI Q&A over a case's documents, with source citations — and it won't invent facts that aren't in the file.
Research & Outcome Predictor
Citation-backed rule lookup, plus an approval-likelihood prediction calibrated on the firm's own recorded outcomes.
Appeal Bundle Builder
Assembles a case's documents into an indexed, bookmarked, paginated A4 PDF compliant with the First-tier Tribunal (IAC) Practice Direction §7.
Certified Translation
AI-drafts a foreign document into English; a qualified translator certifies it to UKVI standards with an e-signed Certificate of Translation.
Client Care & Engagement
SRA-compliant client-care / costs letters captured with the client's electronic acceptance via a public signing link.
Client Document Portal
A no-login portal where clients upload requested documents that auto-classify, extract and attach — with reminders for outstanding items.
Multilingual Intake
Intake forms in twelve languages, RTL-aware, with answers machine-translated back into English for the case file.
Billing, Time & Profitability
Branded invoices with disbursements, payment recording, aged debt, time capture, WIP and a matter recovery rate — money held in exact pence.
Renewals & Lifecycle
Tracks each client from visa → extension → ILR → citizenship and flags re-engagement windows before the current leave expires.
Practice Insights
A partner dashboard rolling up caseload, grant rate by route, revenue and WIP, deadline risk and the renewal pipeline.
Settings
Firm profile, team management, billing, AI preferences and a dedicated Security & Compliance tab.
Twenty-seven AI modules are available à la carte on top of the Foundation licence — see the pricing schedule.
Why DocFlow
Four platforms, sixteen capabilities, one obvious answer.
The table sets out the capabilities a serious UK immigration platform should deliver, against the leading US-built alternatives most often raised in conversation. No incumbent combines UK-specific workflows, modern AI, and the commercial terms a partner-led firm would actually accept.
The non-negotiables, in plain terms.
Every partner asks about data handling before they sign. This is the short answer.
UK GDPR compliant
All client data processed under UK GDPR 2021, with United Kingdom data residency.
SOC 2 Type II aligned
Infrastructure and processes aligned to SOC 2 Type II security controls.
